April 2023 Membership Matters: Time Management Tips for Those Who Are “Too Busy”

Everyone seems to be busy these days. Just ask…well, ANYONE! Our jobs in plumbing engineering and design often overwhelm us with emails, deadlines, and more. Effective time management is crucial for maintaining project schedules and ensuring successful outcomes. As we are forced to balance multiple tasks, deadlines, and responsibilities, honing our time management skills can lead to increased productivity, reduced stress, and a healthier work/life balance. Following are some strategies and tips to consider to help us all enhance our time management skills in hopes of freeing up a few more minutes or hours in the day so we can focus on our time not at work.

Set Priorities and Goals

Prioritizing tasks and setting clear goals is the first step to managing time efficiently. As a plumbing engineer or designer, we are faced with various tasks and responsibilities, making it essential to identify which tasks are most important and require immediate attention.

  1. Make a list of your tasks and rank them based on urgency and importance.
  2. Break down large goals into smaller, achievable milestones.
  3. Allocate time for each task based on its priority.
  4. Ensure that you meet deadlines by setting reminders and scheduling regular progress checks.

Plan and Schedule

A well-structured plan and schedule will help us allocate our time and resources effectively, minimizing wasted effort and keeping projects on track.

  1. Use calendars, planners, or digital tools to organize your tasks, deadlines, and appointments. I am currently experimenting with Notion for just this purpose.
  2. Schedule tasks for your most productive hours and reserve time for unexpected events or delays.
  3. Set realistic deadlines and avoid overcommitting to tasks.

Delegate and Collaborate

Delegating tasks and collaborating with colleagues can help you manage your time more efficiently and prevent burnout.

  1. Identify tasks that can be delegated to other team members.
  2. Communicate your expectations clearly and provide necessary resources for successful completion.
  3. Foster a collaborative work environment to encourage teamwork and shared responsibility.
  4. Something I learned while working for a mechanical contractor was this: If there are items/answers you need from others, get those balls rolling first so work can be done behind the scenes while you address the things you have to work on yourself.

Limit Distractions and Focus on One Task at a Time

Distractions can significantly hinder productivity and lead to poor time management. I struggle with this every day! Maintaining focus and concentration on one task at a time can help you stay on track and complete tasks more efficiently.

  1. Create a designated workspace that is free from distractions.
  2. Silence or limit notifications on your devices while working.
  3. Practice the Pomodoro Technique or similar time management methods to maintain focus and avoid multitasking.

Continuously Evaluate and Improve

Regularly evaluating your time management strategies and making necessary adjustments can help you stay organized and efficient.

  1. Assess your daily or weekly productivity and identify areas that need improvement. If you are like me and have multiple areas needing improvement, try to start with just one. It can get overwhelming when you try to change too many things at once.
  2. Review your priorities and goals to ensure they align with your current workload and long-term objectives.
  3. Be open to trying new techniques and tools to optimize your time management.

By setting priorities, planning and scheduling effectively, delegating tasks, limiting distractions, and continuously evaluating progress, ASPE members can improve their time management skills and achieve greater success in their careers. Implementing these strategies can lead to increased productivity, reduced stress, and a more balanced work/life experience. If you end up with some spare time that you just don’t know how to spend, maybe you take that time to attend an ASPE Chapter meeting or get involved with an ASPE Committee!
